1. Internal demo

Denkraum is a free internal demo for private AI chats, dictation and shared organisation files, without production approval. Use only fictional or anonymised content, including file names and metadata. Personal or confidential content must not be uploaded or sent to the AI. Development work may rebuild the entire database, including accounts and organisation memberships; export any content you need beforehand. Affected accounts then receive an email explaining the change and how to register again.

You need an account and an organisation. Email registration requires confirmation, a password and, if the allowlist is enabled, approval of the address. Company sign-in uses approved access. Organisation owners manage memberships, permissions and security requirements.

2. AI replies, files and limitations

You interact with AI from OpenAI or mittwald. Replies, dictation, text extraction, OCR and source assignments may be incorrect or incomplete. Check statements and evidence before use. Provider filters may reject requests. The AI can read and analyse organisation files but cannot change or delete them.

Dictation remains an editable draft; check recognition and sentence transitions before sending. After AI settings change, you must start a new dictation; you may keep recognised text. Message length, quotas, device and connection limit processing.

Files with general AI access can be used without additional selection. Additional file and folder selections apply to the chat, including files added below them later. Transfer and evidence storage are explained in the privacy section “File access and source evidence”.

Capacity for chats, files, sources and AI processing is configurable per installation. Multiple model calls for one reply may exhaust a quota. Large or unsupported documents may be analysed only partially or not at all. Status and reached limits are displayed; complete analysis is not guaranteed.

3. Content and permitted use

You retain your rights to your own content. You grant us the rights needed to store and process it and provide the requested features. Only submit content you are entitled to use and share.

Illegal content, access to other people's accounts, attacks and bypassing access restrictions are prohibited. Protect your credentials and report suspected abuse using the contact in the legal notice.

4. Reports and measures

You can report illegal content through “Contact”. People review every report. In case of violations we may remove content or restrict access where necessary and proportionate, taking account of the circumstances and the rights of those affected.

Those affected receive a statement of reasons with the relevant circumstances, legal or contractual basis and available remedies, unless a statutory exception applies. Objections can be raised through the same contact; recourse to the courts remains available.

5. Availability and termination

Development work, faults and AI provider availability may interrupt use. No fixed availability or recovery period is agreed for the internal demo.

You can export individual chats including saved evidence, delete them with their associated text versions and download accessible original files. Deleting a membership removes that person's private chats and private files, including their subfolders, in the organisation. Associated originals are queued for deletion from object storage. Shared files remain. Suspension alone or leaving a team does not trigger this deletion. Closing an organisation deletes its chats and files.

You can end use by deleting your account. As an organisation owner you must first transfer responsibility or close the organisation. Export any content you need beforehand. Shared files in a continuing organisation remain. Our privacy contact is available for other data and statutory data protection rights.

6. Statutory rights

Statutory liability rules apply. These terms do not restrict mandatory statutory rights.

Consumer dispute resolution

We are neither obliged nor willing to participate in dispute resolution proceedings before a consumer arbitration board.
